The Role

The Floor Representative in IPD Services manages the IPD reception desk and supports patient admission, transfer and discharge at Shifa International Hospital (H-8, Islamabad). The role works in all shifts (24/7).


• Respect patients’ values, beliefs, and cultural sensitivities in all interactions • Maintain confidentiality of patient and hospital information at all times • Follow departmental policies, procedures, and SOPs in compliance with ISO/ JCI standards • Maintain professional conduct while dealing with patients, attendants, visitors, and staff • Handle patient and attendant concerns professionally and escalate issues as per defined protocols • Participate in quality assurance and service improvement activities as assigned • Ensure smooth shift handover through proper documentation and verbal briefing • Any other task assigned by HOD • Manage IPD reception desk operations, serving as the first point of contact for patients and attendants • Receive, attend, and guide patients and visitors regarding admission, room location, and hospital services • Handle telephone calls and communicate messages promptly to concerned departments or staff • Assist in bed allocation and room preparation in coordination with Nursing, Housekeeping, and Maintenance • Facilitate safe and timely patient admission, transfer, and discharge processes • Maintain, update, and verify patient files, registers, and electronic records throughout the patient’s stay • Ensure accurate and timely entry of procedures, services, and disposable supplies into the system • Recheck service entries every shift to avoid charging discrepancies • Coordinate with relevant departments (Nursing, Admission & Discharge Office, FNSD, Housekeeping, Maintenance, etc.) to resolve service related needs • Conduct routine rounds of IPD rooms and reception areas to identify and follow up on service gaps • Ensure proper cleanliness, functionality, and readiness of reception counters and nearby patient areas • Maintain stationery and reception supplies at defined par levels • Assist in documentation and record-keeping for patient registry logs, handovers, and departmental reports
